  • The Senior Executive Assistant (“EA”) is responsible for providing on-going support to the two Partners. This includes assisting Partners in the smooth running of the practice and promoting organizational efficiency.
  • Duties will include overseeing and coordinating the entire client meeting process, from scheduling and booking appointments, managing the schedules for both Partners as well as overseeing meeting preparation, confirming all meetings, room bookings, and after meeting follow up and documentation.


  • Responding to emails, phone enquiries & correspondences regarding client meetings
  • Updating of Principals’ calendars – business and personal and meeting spreadsheets
  • Arranging and confirming internal and external meetings including booking space for meetings
  • Keeping the meeting rooms in order
  • Assisting in the organization of client events/seminars and group meetings
  • Letters to clients/professionals – proofread, assemble, send and track letters to clients
  • Maintain comprehensive records in contact management system of all client needs and interactions
  • Advise and assist with the preparation and coordination of presentations, proposals and other marketing and client communication materials including mail-outs
  • Overseeing all annual license renewals, ensuring sign-up and payment for all events/seminars and miscellaneous personal tasks for the Principals as required


  • Progressively responsible experience with managing Executives’ calendars
  • Strong understanding and compliance with ensuring that all business and issues, client and otherwise, at CI are kept highly confidential
  • Pleasant and professional communication
  • Strong organizational skills with ability to work independently
  • Experience in Microsoft Office software, Windows, Salesforce and Outlook
  • Experience in the finance/investment industry is considered an asset
  • High degree of accuracy and attention to detail
  • Excellent communication and interpersonal skills (verbal and written)
  • Ability to work effectively and efficiently in a fast-paced environment.
  • Flexibility to effectively take on new and evolving duties and responsibilities
  • Strong typing skills and ability to learn new software relatively quickly
  • Ideally looking for candidate who has formal credentials and would like a long-term career as an Executive Assistant


  • Full-time position with occasional overtime when required and occasional evening events.
