JOB DESCRIPTION:

Our team focuses on providing the best customer experience to our clients and we are looking for someone with excellent communication skills, proactive and resourceful.

As a Licensed Assistant, you will be processing trades, setting up new accounts for clients, processing transfers and other client requests.

You will also be helping with calendar management, booking meetings, and giving support to the advisors that are part of our team.

To be successful as a Licensed Assistant you should be detailed oriented with excellent customer service skills and the ability to work collaboratively within a team environment.

You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.

You will ensure all clients’ requests are processed and followed up, executing all administrative tasks to the highest quality standards.

RESPONSIBILITIES:

  • Processing CIUFs/ NAAFs
  • Account opening process
  • Adding prospects/clients to Navigator 
  • Adding clients, accounts and KYCs to Action
  • Account Transfers (in kind, in cash)
  • Inbound client requests (PAC, SWP, address update, beneficiary change etc.)
  • Meeting prep (statements, summaries, etc.)
  • Trades and transactions – deposit, withdrawal, overdraft, LOI, wire, etc.
  • Cheque log – log it, scan and attach
  • Deposits to bank
  • Deposit reconciliation
  • Post office pick up and drop off

QUALIFICATIONS:

  • Must be securities licensed
  • Work experience as an Administrative Assistant 
  • Proficiency in Microsoft Office Suite
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school degree; additional certification in Office Management is a plus
  • Experience with processing insurance applications is a plus
