JOB DESCRIPTION

    We’re looking for a reliable, detail-oriented professional to join our team in an operations role focused on mutual fund processing and administrative support. Our well-established financial advisory practice serves a loyal and growing client base, and we pride ourselves on delivering excellent service through collaboration and teamwork.

    In this role, you’ll be the backbone of our day-to-day operations handling mutual fund transactions, managing client paperwork, and supporting the advisor and two account managers. While you won’t be directly client-facing, your work will be essential in ensuring our services run smoothly, compliantly, and on time.

    EXPERIENCE AND QUALIFICATIONS

    • Minimum 2 years experience in the financial services industry, preferably with a CIRO Dealer.
    • IFC (Investment Funds in Canada) certification or CSC (Canadian Securities Course) an asset.
    • Intermediate Excel skills (formulas, filters).
    • Strong organizational skills, with the ability to manage multiple priorities and deadlines.
    • Familiarity with CRM software (e.g., Salesforce).
    • Strong interpersonal communication skills.

     

    DUTIES AND RESPONSIBILITIES

    • Trade execution & processing: Book mutual fund transactions with accuracy and efficiency. Ensure all mutual fund trades are submitted in a timely manner and align with firm policies and compliance standards.
    • Internal Team Support: Support advisors and account managers by assisting in preparing paperwork, tracking outstanding items, and assisting with the administrative steps involved in account maintenance.
    • Recordkeeping & Systems: Maintain and update client records in internal systems and filing structures. Ensure information is organized, current, and easily accessible for team members and compliance audits.

     

    ADDITIONAL NOTES

      This is a full-time hybrid role, with a mix of in-office and remote work with core hours of 9:00 AM to 5:00 PM, Monday through Friday, with flexibility depending on business and personal needs.
